Overview<\/strong><\/p>\n\n\n\n

Project Assignees are Procore users who have access to the Tasks<\/strong> tool at the project level<\/strong> in Procore. These users can receive task notifications generated from AP Processing in OneCore, such as during invoice or commitment claim processing.<\/p>\n\n\n\n

Enable the Tasks Tool in Procore<\/strong><\/p>\n\n\n\n

To allow Project Assignees to receive tasks, the Tasks tool must first be enabled at the project level.<\/p>\n\n\n\n

Steps:<\/strong><\/p>\n\n\n\n

  1. Go to Project Level > Admin<\/strong><\/li>\n\n\n\n
  2. Select Tool Settings<\/strong><\/li>\n\n\n\n
  3. Locate Tasks<\/strong><\/li>\n\n\n\n
  4. Toggle the Tasks option to Active<\/strong><\/li>\n<\/ol>\n\n\n

    Configure User Permissions for the Tasks Tool<\/strong><\/p>\n\n\n\n

    Important Notes<\/strong><\/p>\n\n\n\n

    • Procore Admin users<\/strong> automatically have access to the Tasks tool.<\/li>\n\n\n\n
    • Non-admin users<\/strong> require manual permission updates.<\/li>\n\n\n\n
    • Users must have at least Standard or Admin permission<\/strong> to the Tasks tool.<\/li>\n<\/ul>\n\n\n\n

      Ensure the intended Project Assignees have the correct permission level before proceeding.<\/p>\n\n\n

      Refresh Project Assignees in OneCore<\/strong><\/p>\n\n\n\n

      Once Tasks are enabled and permissions are configured in Procore:<\/p>\n\n\n\n

      1. Navigate to OneCore > AP Processing > General Settings<\/strong><\/li>\n\n\n\n
      2. Refresh the Project Assignees<\/strong> list to sync the latest Procore users<\/li>\n<\/ol>\n\n\n

        Select a Default Project Assignee<\/strong><\/p>\n\n\n\n

        • You may select a default Project Assignee<\/strong> for AP Processing.<\/li>\n\n\n\n
        • This user will automatically be assigned to tasks generated during invoice processing.<\/li>\n<\/ul>\n\n\n

            Task Creation During Invoice Processing<\/strong><\/p>\n\n\n\n

            When processing invoices as a Commitment Claim<\/strong>, users can create a Task Item<\/strong> directly within the AP Processing Claim Wizard<\/strong>.<\/p>\n\n\n\n

            How It Works<\/strong><\/p>\n\n\n\n

            • The task is created during the claim workflow.<\/li>\n\n\n\n
            • The assigned Procore user receives a notification in My Open Items<\/strong> at the project level in Procore.<\/li>\n<\/ul>\n\n\n\n
